Reach Out and Read National Center is seeking a full-time Programs and Office Assistant

Position Summary

The Program and Office Assistant provides key support for Reach Out and Read national staff, field network leaders, and Program sites. The Program and Office Assistant is highly organized and has excellent interpersonal skills-- someone who can seamlessly switch from coordinating meeting logistics one minute, then respond professionally and personably to an incoming call the next; someone with focused attention to detail, yet who understands the nature of the Reach Out and Read program and how our literacy program  fits into a busy healthcare clinic setting; someone who can provide excellent customer service at all times to stakeholders in various levels of the organization.

Job Description

The primary functions of this position consist of the following:

Programs Duties

  • Provide technical assistance and customer service to a subset of Reach Out and Read Program sites
  • Provide technical assistance and customer service to Reach Out and Read field network leaders
  • Monitor the info@reachoutandread.org account - forwarding emails to the necessary people or departments and responding to general inquiries and requests as needed
  • Coordinate logistics of National Conference, including meeting venue and catering, hotel rooms, transportation, AV, invite/attendee list, timekeeping and materials. Track costs and keep within budget.
  • Assist in the preparation of presentations and meetings including, but not limited to, meeting location scheduling, sending meeting invitations and tracking attendance, a/v requirements, and note-taking
  • Support the Programs Team by preparing materials for mailing, creating and maintaining Excel spreadsheets, Word documents, Powerpoint presentations, etc.
  • Periodic data entry and analysis of survey responses

Office Duties

  • Maintain office services by organizing office operations and procedures; maintaining relationships with building management, office vendors, and office technology; designing paperless filing systems; maintaining company phone system and directory
  • Assist in the preparation of presentations and meetings including but not limited to meeting location scheduling, sending meeting invitations and tracking attendance, a/v requirements, and note-taking

Finance and HR Duties

  • Maintain the paperless filing system for HR files, respond to inquiries of interested applicants, assist with onboarding new employees
  • Ensure all timesheets are submitted in a timely manner, enter bi-weekly payroll
  • Assist with Annual State Charitable Filings

Other

  • Perform other duties as assigned or as required

  • Ability to work both independently and as part of a team with a proactive approach to problem solving
  • Demonstrated willingness to take initiative and handle multiple, daily priorities
  • Strong personal commitment to Reach Out and Read's mission
