Programs Data Coordinator

Reach Out and Read is seeking a full-time Programs Data Coordinator

Position Summary

The Programs Data Coordinator provides key support for the Reach Out and Read Programs Team including coordination of grant deliverables, book ordering and reconciliation and general operational support. He/She is both highly skilled technically and interpersonally - someone who can navigate complex Excel files one minute, then respond professionally and personably to an incoming call the next; someone with focused attention to detail, yet who understands the nature of the Reach Out and Read program and how our literacy program fits into a busy healthcare clinic setting. The Programs Data Coordinator has advanced Excel skills, has excellent attention to detail, is highly organized, and can handle multiple priorities.

Essential Responsibilities/Duties

Grant Deliverables/Book Orders:

  • Create and maintain complex Excel spreadsheets
  • Coordinate the process of requesting and ordering purchased books and allocating donated books to make the best use of organizational resources; ensuring accuracy, compliance with grant deliverables and staying within budget
  • Coordinate system for reconciling book orders placed and invoices received with the goal of accurate and timely information flow between the Programs and Finance departments
  • Communicate with book vendors as needed to resolve questions on book invoices
  • Coordinate system for informing sites and affiliate leaders of book purchases/donations

New Program Site Startup:

  • Execute the entire new program site on-boarding process (AKA Start-Up) in collaboration with the Information Services Manager, program/ops team, and all affiliate leaders.

Program Support:

  • Utilize problem solving techniques to troubleshoot requests as they come in from Reach Out and Read program sites and Affiliate leadership
  • Support a subset of Reach Out and Read program sites as needed, especially around technical related inquiries
  • Provide general operational support to the Programs Team
  • Maintain and update our electronic Document Library with PDFs, Word Documents, and related materials
  • Data-entry and updating, as needed, of Reach Out and Read's programs database


  • Perform other duties as assigned or as required

Position Requirements

The ideal candidate is a passionate and dedicated individual who wants to help build a growing, mission driven organization and has the following qualifications, skills and experience.

  • Bachelor's degree or equivalent knowledge or experience;
  • At least 2 years' professional experience
  • Knowledge of and experience with accounting preferred
  • Extremely proficient in Excel
  • Impeccable attention to detail
  • Strong organizational skills
  • Excellent interpersonal skills 
  • Professional, personable telephone demeanor; as comfortable on the phone as with emailing
  • Ability to work effectively with all levels of staff and management, both in-person and virtually, knowing when to pick up the phone vs. emailing 
  • Strong oral communication and professional business writing skills
  • Ability to work both independently and as part of a team with a willingness to offer solutions/troubleshoot as problems arise 
  • Demonstrated willingness to take initiative and handle multiple, daily priorities
  • Strong personal commitment to Reach Out and Read's mission
